What to Send

Here's exactly what we need to build your supplement packet. Required documents are marked. Everything else helps us build a stronger case — send what you have.

The short version

At minimum: carrier EOR, your estimate, and inspection photos. That's enough to start. Additional documents — ITEL reports, measurement reports, O&P support, the policy — let us build a fuller argument. We'll tell you if something specific is missing.

Carrier Documents

Carrier EOR / Estimate

Required

The Explanation of Review (or carrier estimate) showing every line item the carrier approved, denied, or adjusted. This is the document we compare against your estimate to find the gap.

Send all versions if the carrier has revised more than once.

Your Estimate

Contractor Estimate

Required

Your full scope-of-work estimate — every line item, material, and labor cost you are claiming. This is the baseline we use to identify what the carrier missed or underpaid.

Format: PDF, Xactimate ESX
Include all supplements you have already submitted, not just the original.

Material Identification

ITEL Report

If you have an ITEL identification report, send it. ITEL confirms the exact manufacturer, product line, and color of the existing material — which obligates the carrier to replace it with the identified product at current market cost, not a generic substitute.

Measurements

Measurement Report

An EagleView, GAF QuickMeasure, or similar aerial measurement report. Measurement conflicts are a common denial tactic — having a third-party report closes that argument.

If the carrier and your measurements differ, this becomes critical.

Photos

Initial Inspection Photos

Required

Pre-repair photos documenting the damage as it was found. These are your primary evidence of what was there and what needs to be replaced.

Format: JPG, PNG, PDF
Include close-ups of damage patterns, hail strikes, and field shingles.

During-Build Photos

Progress photos taken during tear-off and installation. Useful for documenting deck condition, drip edge installation, ice and water shield placement, and other code-required items.

A photo of ice and water shield installed at the eave is worth more than any written description.

Completion Photos

Final photos of the finished roof. Show the completed work as evidence of full scope execution.

Format: JPG, PNG, PDF
Include photos of all accessories: vents, ridge cap, flashing, gutters.

Engineer & Specialist Reports

Engineer Report

A structural or forensic engineering report if one was obtained. Useful for causation disputes, wind/hail dating, or structural damage claims.

Engineers who specialize in insurance claims write reports in the language carriers respond to.

O&P Support Documents

Subcontractor Coordination Records

Invoices, contracts, or coordination logs showing that you managed multiple subcontractors on the project. This is supporting documentation for your Overhead & Profit claim — carriers frequently deny O&P without documented coordination.

Even a simple list of trades coordinated and dates strengthens an O&P argument.

Material Receipts / Procurement Records

Material purchase receipts, supplier invoices, or procurement documentation. Shows that materials were actually sourced and purchased — relevant for material cost disputes and O&P support.

Current pricing from your supplier is more persuasive than list price debates.

Supervision Log

A log documenting site visits, crew oversight, and quality control activities. Supports general contractor overhead on multi-trade projects.

Doesn't need to be elaborate — dates, what was supervised, and by whom.

Policy Documents

Homeowner's Insurance Policy

The homeowner's policy declarations page and full policy document. Used internally to understand coverage structure, ACV vs. RCV language, ordinance and law coverage, and applicable endorsements. We use this behind the scenes to frame your supplement correctly — not to interpret coverage on behalf of the insured.
